Refunds, returns and disputes

When money goes backwards.

Three things can send money back: a refund you choose, a bank payment that bounces, and a card dispute. Each is handled inside your account, listed on the payout statement, and explained before you confirm anything.

Refunds

Full or partial, from any payment in your account. The customer is told right away and the fee treatment is shown before you confirm. The refund is netted out of your next payout and listed there.

Returned bank payments

If a bank payment bounces, Flow marks it Returned, emails you and the customer, reopens the balance on their record, and tells your software. Nothing is paid out for a returned payment.

Card disputes

If a customer disputes a card charge, you see it in your account with the reason and the reply deadline, and you reply from there with your evidence. A lost dispute is reversed and listed on the statement.

What each one does to your payout

Every payout statement adds up to the cent. Here is where each item lands.

Fewer of all three

Every card payment is screened

Fraud checks run before a card payment is approved. A payment that looks stolen is declined before it reaches you.

Your name on the statement

Most disputes start with a customer who does not recognise a charge. Your business name, not ours, is what they see.

Receipts both ways

A receipt the moment it clears, with your name and what it was for, answers the question before it is asked.

Is there a fee to refund?

The fee treatment for a refund is shown in your account before you confirm it. Nothing is hidden and nothing is charged for a refund you did not confirm.

How long do I have to reply to a dispute?

The deadline is set by the card network and shown next to the dispute in your account, with a reminder before it passes.

What happens to a returned rent payment?

The tenant's balance reopens, you both get an email, and if they use DW Resident or your own software, the balance reopens there too.
