Payouts and records

One deposit. Every payment inside it.

Money collected through Flow pays out to your bank on a rolling schedule. Each deposit comes with every payment and fee inside it.

How a payout works

From your customer's bank to yours

  1. Day 0Your customer pays. The payment shows as Processing, then Succeeded, in your Payments list.
  2. ClearingCard payments commonly clear sooner than bank payments. A bank payment takes one to two business days to confirm.
  3. PayoutCleared money is bundled into a payout and sent to the bank account you connected. Weekends and bank holidays shift the date.
  4. LandedYour bank statement shows one line, FLOW PAYOUT, and your Flow Payouts page shows what was in it.

Timing varies with account history, processor review, payment method and the calendar. The first payout on a new account can take longer while the account is being verified.

Two statements, both in plain words

What your customer's statement says

Your business name, which you set when you open your account (5 to 22 characters). Not "Flow", not "Dark Water". Customers recognise the charge, so fewer of them call their bank to ask what it was.

What your bank statement says

Each payout arrives as one line, FLOW PAYOUT. Open the Payouts page in Flow and the same amount is there with the payments, refunds and fees that add up to it.

What the fee column shows

One fee per payment, taken out of the payout. Your payout statement shows the fee on every payment and the total deducted from each deposit.

A $6,500 invoice by bank

A $150 deposit by card

No monthly fee, no minimumIf nobody pays you this month, Flow costs nothing this month. The full price list with a calculator is on the pricing page.

When money goes backwards

Refunds, returned payments and disputes all show up in the same ledger, with what they did to your balance.

Refunds

You refund from the Payments page, all or part. The fee treatment is shown before you confirm. The refund is taken from your next payout and listed in it.

Returned bank payments

A bank payment can bounce days after it looked fine, for example for insufficient funds. Flow marks it Returned, emails you, reopens the balance in any connected software, and nets it out of a payout.

Disputes

A customer can dispute a card charge with their bank. You see it in Flow with the reason and the reply deadline, and reply from there. A lost dispute is reversed and shown in your payouts.

Records for you and your accountant

In your account

  • Payments: every payment, refund, return and dispute with its status, method, customer and reference
  • Payouts: every deposit with the payments inside it and the fees taken
  • Scheduled: every upcoming and recurring payment
  • Invoices: open, paid and overdue

In your software

  • Every payment, refund, return, dispute and payout is sent to your software as a signed notice the moment it happens
  • Your software can look up any payment by its own reference, for example an invoice number
  • So your bookkeeping can be driven by Flow's events instead of typed in later
